Changing Grant Properties

The following properties can be configured for each Grant  in Pharos Administrator.

General

Property Description

Charging Model

Read-only property that specifies the Charging Model the Grant is associated with.

Category

Read-only property that specifies the Category the Grant is associated with.

Cost Center Name

The Cost Center name uniquely identifies a Grant within the Category. It is displayed to users when they are selecting a Cost Center, and also appears elsewhere in Pharos Administrator (e.g. when setting Cost Center permissions).

Description

The description of the Grant is displayed to users in the Popup Client application. This may be useful when Grants have terse or numerical names.

Status

This specifies the status of the Grant, whether it is Active, Locked, or Archived.

  • Active - Grants must be active in order for them to appear to users for selection. All Cost Centers are active by default, but they can also be set to either "Locked" or "Archived" mode.
  • Locked - Grants can be set to "Locked" if the Grant is no longer available, for example, the project is already finished. Locked grants are still displayed on the terminal, but are grayed out and are not available for selection. For legacy terminals, Grants will not be visible to the users.
  • Archived - If the Grant is no longer available but you want to keep it in the database for reporting purposes, you can set the status of the Grant to "Archived". Unlike, "Locked" Grants, Archived grants are not displayed on the terminal.

Cost Centers are made inactive automatically during a full Cost Center import if they do not appear in the import source.

Activity Summary

A summary of the billable activities charged to this Grant.

Discount Rate Schedule

As of Uniprint 8.2, Discount Rate Schedule is no longer supported. This property is no longer available from Uniprint 8.3 or later versions. If you upgraded from versions earlier than 8.2, it is available for editing.

The Discount Rate Schedule governs discounts on printing charges, based on volumes used. If specified, this overrides the Category's Discount Rate. Any resource use charged to this Cost Center is subject to the discounts specified in the schedule selected here.

When charging to a Cost Center, the last Discount Rate Schedule encountered is the one that is used, i.e. if a user selected Cost Center A1 from category A and then Cost Center B1 from category B, the schedule for B1 will be used, unless it doesn't have one, in which case A1's schedule will be used. If neither Cost Center has a schedule assigned, the category's schedule will be used, with category B taking precedence over category A.

Discount Rate Schedules can also be associated with users and Cost Center Categories. When charging to a Cost Center, the user's Discount Rate Schedule is not used. Where a schedule has been specified for both a Cost Center and its category, the Cost Center's schedule overrides the category's.

Grants

Property Description

Enforce Budget Limit

This property determines whether users can continue using the Grant or not when Grant Budget is exhausted.

  • If this property is set to "Yes" if the Grant Budget is already exhausted (meaning Grant Remaining is zero), users are no longer allowed to use the Grant.
  • If this property is set to "No", the Grant can go into Arrears, meaning users will still be able to use the Grant even if the allocated Grant Budget or if their User Quota has been exhausted .Grant will be available for selection from the terminals.

Grant Budget

This property displays the total amount assigned to the selected Grant.

By default, Grant Budget is set to zero. If the Grant Budget is set to zero, the Grant will not be available for use (unless it is an Arrears Grant).

Grant Spent

The total amount of funds spent.

You can reset this property back to zero using the "Reset Grant" action from the Charging Models action pane.

Grant Remaining

The remaining funds available for the Grant.

Users Quota

User Quota determines which Users have permission to use a Grant and specifies the maximum amount available for a user to spend.

By default, User Quota is set to "Unlimited", which means that the user can spend up to the current amount in the Grant Budget. However, if the "Grant Budget" is exhausted, users will no longer have access to that Grant even if the users have Unlimited User Quota.

Assigning zero to the Users Quota means that users cannot use the Grant to charge their activity.

Expiry Date

If a date is specified here, this property determines when the Grant expires. After the expiry date, the Grant will be automatically set to "Locked", which means that the grant will no longer be available for use.

By default, this property is set to "Never". The Grant will no longer be available to users when the Grant Budget is exhausted.

User Groups

User Group Constraints determine which User Groups have permission to use a Grant.

All users belonging to the selected Group can use the Grant. Users that have an explicit personal quota will be further constrained by User's Quota.
